THE SHORT ANSWER

Keep an editable copy of your profile content, permitted assets, source references and important settings in accessible formats. Add a dated manifest describing what the package contains and what it omits. Test that files open and preserve meaning. A PDF or screenshot is useful for reading, but does not recreate hosting, forms or account access.

Define what you need to preserve

Begin with the recovery task. You may need to rebuild the profile elsewhere, share an offline introduction or preserve a reviewed content version before a redesign. These purposes require different packages. For rebuilding, an editable text source and asset inventory matter more than screenshots alone. For offline reading, a carefully prepared document can be useful but should retain a clear date and scope.

List the content: biography, service descriptions, case studies, contact expectations, FAQs, titles and relevant metadata. Include public URLs, image descriptions and relationships between pages. A content export that omits labels distinguishing practice examples from client work can change the meaning of the portfolio. Preserve those qualifiers as part of the content rather than treating them as optional design decoration.

Separate reusable assets from private evidence

Collect only assets you are permitted to retain and reuse in the intended context. Record attribution, licensing and client disclosure conditions alongside filenames. An approved website screenshot may not be licensed for every future presentation or platform. Keep private approval correspondence and supporting records in an appropriate protected location, referenced by the export rather than copied into a public download.

Exclude credentials, account tokens, private enquiry data and personal documents that are not part of the public profile. Review hidden metadata and comments in editable files. A portable content package should not become a convenient bundle of everything stored in the original system. Use a manifest to explain restricted or omitted material so future editors do not infer that a missing asset can be freely recreated.

Choose formats that preserve meaning and editability

Use common editable formats for text and an organized asset folder, with descriptive filenames and a simple page map. Include a readme explaining the structure and the date of export. Where practical, keep original permitted images rather than only compressed screenshots of the page. Preserve the text of important links so migration does not depend on recognizing an old visual button.

If you include a PDF for reading, inspect its selectable text, headings, links and reading order. W3C’s PDF technique explains why logical reading and tab order matter for tagged documents. A visually correct export can still read in a confusing sequence through assistive technology. Do not describe a PDF as accessible solely because it looks good or was produced by an export button.

Test the package and record its limits

Open the files in a separate environment where possible and follow the manifest as if you were a new maintainer. Check that the content can be edited, images are present and links are understandable. An offline package may legitimately contain links that require internet access, but mark that dependence. Record missing components and errors rather than calling the export complete because one document opens.

Keep hosting, domain control, forms, analytics and account recovery as separate operational concerns. A content backup does not preserve a working enquiry provider or authorize access to the original platform. Store the package securely, identify its owner and set a review trigger after major updates. The useful artifact is a recoverable content version with explicit boundaries, not an unsupported promise of automatic migration.

ILLUSTRATIVE WORKED EXAMPLE

Fictional example: a PDF without editable content

A fictional independent facilitator downloads a visual PDF before changing website providers. It looks correct but contains no editable service source and leaves one two-column section in an awkward reading order. She prepares a separate text file with headings, labels and links, collects the permitted images and creates a manifest naming each page and its purpose.

The client approval record stays in private storage, while the package references its limits. She checks the revised reading document and notes that contact forms and hosting must be rebuilt separately. The example shows a portable content package and its omissions. It does not claim a completed migration, restored application account, transferred domain or functioning live enquiry service.

A checklist for your next step

  • Define the recovery or sharing task.
  • Preserve editable text and labels.
  • Record asset permissions and attribution.
  • Inspect document reading order.
  • List operational components not included.

Common questions

Is a screenshot a profile backup?

It preserves appearance at one moment, but not editable content, link behavior, metadata or operational services. Keep appropriate source material as well.

Will exporting content move my contact form?

Usually the content package alone cannot recreate form processing or delivery. Document that dependency and verify the new implementation separately.
